The MFPD provides fire suppression and EMS services to an approximate population of 35,000 over 1,100 square miles.  The MFPD is governed by an elected 5-member Board of Directors.

Administrative Assistant Job Description

This is an administrative position that is responsible for clerical and administrative duties at the administration offices.  The Administrative Assistant is a member of District staff who reports to the Deputy Administrator.  This position is a full-time, 40-hour workweek schedule.

Primary Duties & Responsibilities

Responsible to greet customers/public, by telephone and in person, in a polite and professional manner. 

Answers phone calls, ensure callers are sent to appropriate employees with the timely delivery of phone messages in accordance with District policy.

Assist public requests in defined responsibilities, ie-burn permits, property insurance queries.

Drafting correspondence and other documents as requested.

Performing general office duties, filing and running errands.

Maintaining an office supply inventory and updating supplies and equipment as needed.

Consistently meet deadlines and requirements of the position.

Demonstrates excellent customer service skills.

Displays a strong communications skills and professional demeanor.

Assist with day to day requests from the Deputy Administrator.

Complies with all District policies and procedures.


Must be 18 years of age or older.

Have a High School Diploma or GED.  Proficient in Microsoft Office Suite and have the ability to learn District specific computer systems as needed.  Ability to multi-task, self-motivate and work with minimal supervision.  Attention to detail and a high level of accuracy.

Have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Have the ability to speak effectively before individuals or groups of customers. While performing duties of this job, the employee is required to read, write, speak and understand the English language. 

Have the ability to prioritize tasks.  Have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Have the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  Have the ability to work with frequent interruptions.
